Billing your clients

QuickCoach doesn't process client payments, so you bill clients your own way with no platform fees. There's even a plan-builder recipe for simple invoices.

QuickCoach deliberately does not process client payments. You bill your clients directly through whatever you already use: bank transfer, Stripe, PayPal, direct debit, your gym's billing system.

What that means in practice

  • No platform transaction fees. QuickCoach never takes a cut of what your clients pay you.
  • Your client relationships stay yours. Pricing, packages and payment terms are between you and your clients.
  • One less migration. Moving to QuickCoach doesn't mean moving your billing.

Some platforms bundle payment processing and charge for it through add-ons or percentage fees. We'd rather keep the software price flat ($0 or $39, see plans and pricing) and leave your revenue alone.

Create invoices with the plan builder

The plan builder is a bit like a Swiss Army knife. Simple and compact, but it does more than workouts. One of its lesser-known uses is sending an invoice. Since QuickCoach doesn't process payments, an invoice plan won't collect the money for you. What it does is put an itemised bill inside the app your clients already open every day, with a built-in way for them to confirm they've paid.

Building an invoice works just like building a workout or nutrition plan.

  1. Add tasks to your task library for the items you want to bill, such as personal training sessions.
  2. Create a plan. In the plan name, include the invoice number, the invoice total and the date you're sending it.
  3. On each task, add the variables you need: a description, quantity, price per unit, taxes and the total for that item.
  4. In the plan notes, include the invoice details. That means your client's name and their address or email address, plus your business information, payment instructions and payment terms.
  5. Still in the plan notes, give your client clear instructions to type something in the results box once they've paid. That's what gets the line item tracked.

When the invoice is ready, assign it to your client like any other plan. Later on, you can search for invoices in your client's plans to see what's outstanding.

When invoice plans make sense

Invoice plans are handy if you're not using a payment processor like PayPal or Stripe, where payment tracking happens for you. They suit coaches who take bank transfers or cash, which is common when training in-person clients. If you already bill through a processor, keep doing that and skip the invoice plan.
