Where plans are saved, and how to make them reusable

Plans built inside a client's account belong to that client. Here's how scoping works, where to build reusable plans from the start, and how to move an existing plan into a template.

The one rule that explains everything

Where a plan lands, and who can use it, depends entirely on where you built it. QuickCoach has three places to build plans, and each one has a different scope.

  • Inside a client's account. The plan belongs to that client. It lives in their Drafts or Upcoming tab and cannot be assigned to anyone else directly.
  • Inside Plans Drafts. The plan belongs to you and has no client yet. You can assign it to any client, or move it into a Program Template at any time.
  • Inside a Program Template. The plan is reusable. Assign it to one client or a hundred, as many times as you like, without rebuilding it.

If you want a plan to be general from the start, build it in Plans Drafts or inside a Program Template. Building inside a client account is the right choice when you are writing something specific to that person and have no intention of reusing it elsewhere.

Where to find a plan you already saved

Plans never disappear. If you cannot find one, check the location that matches where you built it.

  • Built in a client's account: open that client's page and check the Drafts tab (if you saved without publishing) or the Upcoming tab (if you published it).
  • Built in Plans Drafts: click the lightning bolt icon in the left navigation and select the Plans Drafts tab.
  • Built in a Program Template: click the lightning bolt icon, select the Program Templates tab, open the template, and look in Draft Plans or Ready Plans.

There is more detail on every plan status in Program Templates and Plans Drafts.

How to make a client-specific plan reusable

If you built a plan inside a client's account and now want to use it with other clients, copy it into a Program Template. This does not affect the original plan or the client who already has it.

  1. Open the client's account and find the plan in their Drafts or Upcoming tab.
  2. Click the edit icon (pencil) to open the plan in the plan builder.
  3. Click Copy To at the top of the builder.
  4. Use the dropdown to select the Program Template you want to copy it into. If you do not have one yet, create a template first and then come back to this step.
  5. Click Copy Plan.

The copy lands in the template's Draft Plans section. Open it with the edit icon, make any changes you need, then click Publish Plan to move it to Ready Plans. From there you can assign it to any client whenever you need it.

The full guide to copying, including duplicating plans within a template and building repeating programs, is in Copy, duplicate and repeat plans.

Building a reusable plan from scratch

If you know a plan will be used with more than one client, start in the right place.

  1. Click the lightning bolt icon in the left navigation.
  2. Select the Program Templates tab and open (or create) the template you want to build in.
  3. Click Create a plan and build as normal.
  4. When the plan is ready, click Publish Plan. It moves to Ready Plans and is available to assign to any client from that point on.

Assigning a template plan always creates a copy for the client. The original in your template stays untouched, so you can assign the same plan again and again. See Assigning plans to clients for every assignment route, including sending an entire template folder in one go.

Frequently asked questions

I built a plan in Plans Drafts. Can I assign it to a client?

Yes. Open the plan, click Publish Plan, and select the client you want to assign it to. The plan moves out of Plans Drafts and into that client's account. If you want to keep a copy in Plans Drafts as well, tick Keep draft before you publish.

Does copying a plan into a template affect the client who already has the original?

No. Copying creates an independent duplicate. The original stays exactly where it was, assigned to the original client, completely unaffected.

Can I build plans directly inside Plans Drafts?

Yes. Click the lightning bolt icon, select the Plans Drafts tab, and click Create Plan. Plans built here are not attached to any client until you assign them, which makes Plans Drafts a good staging area when you are not ready to assign yet.

What is the difference between Draft Plans and Ready Plans inside a template?

Draft Plans are not included when you assign a whole template to a client. Only Ready Plans go out. Publish a plan inside a template (click Publish Plan from the plan builder) to move it from Draft Plans to Ready Plans.
